We network with a lot of people and when we start talking about how business is with people we can’t help but to analyze them from a marketing perspective. Normally business owners or managers always say “business is good”! But what does that really mean? Good is not great, good is not fantastic, good is not extraordinary. Why are none of these the answers we hear? Mainly, unless you are an exception, is because they are just getting by. 9 times out of 10 it is because of lack of business or lack of efficiency. Usually lack of efficiency leads to not being able to accept new business. That is a different issue. So let’s talk about lack of business.

Lack of Business

If you are experiencing lack of business then you are probably doing little to no marketing. If this is true don’t stop reading this article. There are some straight forward steps you can take to get your market aligned with your target audience.

1. Social Media

If you do not have any social media setup or if you do and are not actively pumping out relevant content you are missing the boat! Today, this is the quickest and easiest way to get your products and services circling around the internet. Even at that, it has never been more cost effective to sponsor or boost information on facebook or the like. For pennies on the dollar you can put what you sell out in front of your ideal client for cheap. Yes, someone or something has to create and manage all of this but this is the exact opposite of purchasing some billboard space along the highway. Think of it the opposite, your billboard is only placed in front of people that are looking for your products or services, not the other way around. A billboard is permanent and depending on your audience a good portion who see your advertisement will not be interested. On the flip side, social media can target age, sex, demographic, interests, search history and more so that your content will be front and center when the time is right.

2. Videos

Videos have been slow to gain traction over the last 10 years but those who have embraced the power of them for business are reaping the benefits. They are simple to make and don’t take a lot of planning as long as you know what you are talking about. To put out a decent 1 to 5 minute video explaining your products or services or talking about what kind of clients are ideal for you these topics should be second nature. As you are pumping out these videos you can use social media to get them off the ground and over time they will attract the right type of clients to your business. The ones that are profitable if you are true to yourself and true to your potential clients.

3. Marketing Automation

One undervalued service is one that automates and cultivates business that already has an interest. These clients need to be nurtured and pulled through your sales funnel. In order to do that you have to create content that is used for drip marketing. The idea is that while your potential clients are scouring for solutions to their problems you will be constantly in their sites. By implementing a solid marketing campaign based on the things you probably do already when responding to inquiries you can bottle up the responses and turn them into sales tools. This will help automate the process and give you more time to focus on efficiency or cultivating new clients.

Focus on the Target

Here are a few examples of a tool you can use from Google called Trends. If your have a veterinary business and only focus on talking about cats because you like them you may want to shift focus on dogs. If you are focused on well being you may want to talk a bit more on yoga and exercise versus stress. The search volume of yoga is over the top compared to the other two. If you are in the engineering field you may want to talk more about mechanical than industrial or electronic. If it is around the Holidays and you sell gifts you may want to talk about kisses more than hugs. This data has been collected over time and can be very helpful in determining what your audience may be wanting. Rather than guessing just use the tool!

Are you locked out of your own website?

Over the years we have helped many clients gain access to their own website that was being controlled by their current or past web designer. Sometimes we get little to no cooperation from that web designer, which is unfortunate. We have been very fortunate to host and maintain most of the websites we have ever built for our clients. Every so often we get a call from a client who wishes to have someone else manage their website for them. This is no problem at all. We know that situations change and businesses evolve in different ways. When this does happen, we make sure their new web developer has access to anything and everything they need to be able to do their job. We not only owe that to our client, we owe that to the next web developer. It is the right thing to do and it is what being a professional is.

We just had one of these such transitions happen with one of our long time clients. We helped the new developer with whatever he needed. We were very happen to get this email from him.

I wanted to thank you for making this process as easy as you have. When the shoe is on the other foot I always do the same. However, there are some people I’ve dealt with during a transition that make it such a difficult process. Dragging their feet and doing anything they can to make it harder on me. A few things to consider when you have a website developed. You will be putting both time and money into not only developing your new website but also to advertise your website.
The last thing you want is be “locked out” of your website.
When having a website developed, there are 3 main items related to the website itself.
Your domain name: Example www.wallfrog.com
Your email address: Example [email protected]
Your website hosting: Your new website needs to “live” somewhere so that it can be viewed on the internet. When you purchase hosting for your website, you are paying for server space for your website to reside.
These three services can be all in one place or they can be provided by three different companies.
Typically you would either purchase these items directly from a company such as GoDaddy or from your web development company. Either way, you want to make sure that you ultimately “own” these services so to insure you don’t get locked out of them in the future.
Typically you would get “locked out” for three different reasons.
1. The person or company you originally hired to develop a website for you handled these services for you. They may have had good intentions but for whatever reason they are no longer around or they are out of business.
2. The person or company you originally hired to develop your website never informed you that you were actually “renting” these services from them. This is the case often where the web developer technically owns your domain name and controls your email system and website hosting. As long as you keep paying the monthly fee, it is yours but the day you want to make a switch, you find out that nothing you have can be taken with you.
3. You may have hired a non professional, non ethical company that wants to control everything to hold you ransom and make sure that you always need to come back to them for service.
How does Wallfrog handle these services?
We realize that every business is different and every owner wants to have a different involvement in their internet presence. We do offer a package where we register our clients domain name on their behalf, host their website and set up their business email. These clients are typically not involved in managing these services as they are the type that does not want to be involved. The hire us to handle this for them. We do however, make sure that they know they own their own domain name, their own website and their email system. If they ever need or want to make a change to another provider, we will work with that provider to ensure  a smooth transition.
For those who may be a little uncomfortable with giving another company control , we help our clients set up their own domain and hosting accounts through GoDaddy.
In this case they pay directly to GoDaddy, the account is in their name, they have access to it and they control it. We just help them set it up properly and make sure we get their new website working in their own godaddy account. For email, we recommend Google’s G Suite. We have set this up for over 250 businesses and also use it for Wallfrog. Not only is it a great email system, it is not tied to the company that either hosts the website or registers the domain name. I have seen too many companies need to switch hosting providers and then have to set up a whole new email system again.

When having a website developed or redesigned, make sure that you…..
Own your own domain name, know where it is registered and how to access it.
Own your own website, the images on that website along with any graphics or content. Be sure to know where it is hosted and how to access it.
Control your own email system, be sure that it is in your name and you know how to access it.

What We as Web Designers and Marketers Learned in 2015

1. Be Social – Customers Like Businesses Who Are Active Online

Social Media is not going anywhere. Nobody can predict the future but as it sits Social Media is becoming more and more powerful for businesses. Like it or not it is here to stay and from what we have observed this year, those businesses who have embraced Facebook, Twitter, Google+ and Linked In at the very least has experienced great success by expanding their reach. Take any business that is reluctant to jump into the Social Media arena, have them do it whole-heartedly for a year and then re-evaluate their situation and reach. First and foremost a customer ready to do business with that business notices that they are active and responsible for their daily posts of progress especially with Facebook. This in the eyes of the customer shows dedication and quality towards the business. It shows that they are busy and most importantly sought after. Everyone wants things done yesterday so when you are not willing to wait for the best you tend to fall short of your expectations by hiring someone else who is not worthy of your business. For a business to understand this crucial piece to their business model is directly related to the success of their company. For some reason it is not easy to stay active because of all the deadlines, backlog and wearing too many hats but it literally only takes a few seconds from your phone to snap a photo and write a sentence about it. Facebook posts are searchable! Another great way to gain exposure on the internet in the eyes of the SERPS (Search Engine Results Pages) is to continually post. Make sure you mix it up by not only posting what you are doing but things that relate to your business that is useful to others. Sprinkle in something funny or clever and you have just created the recipe for Social Media success.

2 – Be True to Yourself – Focus on Your Craft or Product

Those businesses who reach for other ways to make money within their business seem to fall in a trap that is hard to get out of. When that bad month comes around and you are scrambling to pay your bills and employees, owners who get desperate seem to try to fill in the void by introducing a new product or service instead of streamlining the ones they already have. Most of the issues here are preparation. Those months that are notoriously slow for whatever reason need to either be made up buy using the funds from the busy months or find a way to market to those people during the slow months. This does not mean dropping all of your prices because that is a straight path to the bottom. Once you start discounting your work, clients and potential customers will catch wind of it and start to expect those kinds of deals throughout the year. This has somewhat of a backfire effect that is tough to recover from.

3 – Don’t Be Afraid to Turn Away Bad Business

By now you probably know who your ideal customers are. With this information you can cherry pick your jobs and steer away from the ones that will take advantage of you one way or another, try to change your process to fit their needs or become such a wedge in the sprocket that can shut things down to a halt. Your business has procedures that are put in place on purpose to help keep your business on track. Yes, there will always be exceptions but for the most part if a customer does not fit exactly in your business model it may not be a good fit. You can always try but you may find out the hard way that your customer cost you more than you made. In this case more procedures get put in place to try and screen this from happening again and again but it only takes a few mistakes in a row for a small business to feel the effects of some poor business decisions. Being successful means that you are always sharpening your pencil to become better and better at what you do or provide your customers while at the same time documenting the important tidbits along the way that will help keep you business well oiled throughout its journey. Unless your a franchise, nobody drops all of the solutions out of the air for you to follow or hand down the crystal ball. It takes time and experience to fall on your face and get back up and learn from those hazardous obstacles that can put a business in a bad place.

4 – Always Be Helpful and Accommodating – Know When to Stop and Always Get Paid for Your Expertise

Now and then you will run into a situation where a customer needs all kind of help or does not know where to start. Without consulting fees you can be led down a dark path of giving up all of your information that took you time and money to learn and perfect. You do not want to give away your trade secrets but enough information to make them understand that doing it on their own would take too much time out of their schedule which wouldn’t save them a lot of money at all. It will surely end up costing them more. Those who don’t have the money in the first place to pay for this information that you are handing over probably does not have the money to do it right in the first place. Most of your consulting from a business point of view should be aligned with your services as far as figuring out if you are a match for the business. Customer alignment is key in setting up expectations early in the relationship and building the trust right out of the gate. Far too many times does a customer do research on their own and find out the nuts and bolts that need to be done to accomplish their goals and then it comes time to hire someone to do what they just learned but never applied themselves. This is usually one of those red flags that you can see a mile away that it may not be a perfect fit for your business. If you have a great track record for helping your customers you should trust your instincts and continue to provide those products and services that you believe in and not fall off the beaten path or you will get beaten. When you as a business are helpful to the point that the customer understands what they are up agains and trust you to lead them down the right path, the appreciation skyrockets and they will benefit from your knowledge and recommendations all while getting paid for your expertise. Every hour in the day counts so every hour you are not getting paid is an hour you have to make up. They do add up and add up fast if you are not careful and you can’t get them back. The point we are trying to make is that if you are not getting paid one way or another for what you opened your business up for in the first place you are doing a big disservice to yourself and your team. Alway help a business if you are 100% sure it will flourish into paid business. Although you can’t guarantee that will happen all the time you have to know when to cut the ties before you enter the point of no return.

5 – Have Goals, Shoot for the Starts & Hold Yourself Accountable for Those Goals

If you don’t shoot high enough you will never make it. Always have goals that are unreachable, this way if you are trying to reach them you will find out that you are doing way better than if you had no goals at all. Just because you didn’t reach your goal it doesn’t mean you didn’t succeed, it means that you went the right direction. Every day is a fight to make it to the top, without that drive and passion the fight can and most likely will get lost. In order to not lose the fight, you as a business owner needs to identify any issues that get in the way of winning and figure out how to streamline processes and identify any inefficiencies. If you are doing things over and over again with no reward it may be time to sit down at the drawing board and automate some steps or purchase software to keep track of what you do manually. Use the tools on the internet. Rather than reinventing the wheel in may suck to spend $9.95 a month on a service that will save you hundreds of dollars or possibly thousands not to mention any wasted time that went along with it. Development costs are always hard to swallow but if you are taking 8 – 10 hours to quote a project and it is the same way over and over again you may want to invest in writing a program to take in a set of input values and have it spit out the answer in milli-seconds. We have seen several business bite the bullet and spend some time and money to automate some of their complicated quoting for products or services. They have not only saved money in the long run but they also were able to avoid giving away their products or services due to wiggle room for discounts. If you are winging your pricing you are probably losing every time because the customer has some room to negotiate. If you are willing to turn away business you will gain those who respect your pricing for what you do.

Conclusion

Make 2016 the year to embrace change and accept any mistakes you as a business owner have made. Learn from them and move on. There is nothing like ringing in a new year with a new attitude to do whatever it takes to survive and do what you love. You have come this far, do not give up and press the reset button as many times as it takes to get to where you want to be. Make good choices this coming year, each one matters no matter how small or how large. Being an entrepreneur is a gift and an honor. Make every second count!

Does Your Company Do Some Redundant Tasks That Can Be Automated?

Wallfrog has been working on an enormous efficiency program for a national client that is designed to help them with their marketing, leads, quoting, customers, scheduling, task process, workflows, production, quality assurance, packing process and shipping. Basically this is an end-to-end problem that most businesses have in where a good percentage of their work actions can be automated. This company has a complex process but their actual service is very straight forward, simple and repetitive. It has a very large profit margin but they have been experiencing huge leaks in their cash flow due to efficiencies. Wallfrog was hired to consult from how they collected money to how to keep track of their inventory in order to analyze the internal process.

We also developed an automated process to help all of their employees not to have to figure out what they had to do for each customer but they can now simply follow the instructions and not have to constantly ask questions about it which was one of the main inefficiencies.

Custom Quoting in Seconds!

One of the largest inefficiencies was the quoting process. Since there were dozens of products in the field that they service, each product had its own set of criteria and pricing. What once took 8 hours to analyze, quote, present and contract now takes under a second! Once the data is inputted, with the press of a button the output is displayed on the screen and each task is distributed to each department. With so many leads coming through from all over the country they were losing opportunities. With annual service contracts anywhere from several thousand dollars to several million dollars that is a big issue for their revenue stream.

For years this has gone unfixed but they had no idea where to go for help. Since we are a marketing and web design company, we were able to go in with a fresh eye and help them gain control of their marketing but when we got down to how to deal with the leads and quoting it opened up a can of worms to their daily operations. Wallfrog made some suggestions on how to fix some of the simple things which led to helping solve how they ran their business. By having the programming skills to go in and fix the problems we were able to help the company patch up their sinking ship and turn it around to help them make several million dollars per year. Over time they now have an exponential growth model which will allow them to take this newly designed process and setup shop all around the country to meet the demand. Needless to say, it is a great feeling to be able to work aside of a client and show them the light at the end of the tunnel. New beginnings.

What is the Solution?

So how did we do it? Since every company is different, there should be a customized solution for every problem. Where to start? There is no out-of-the-box product you can buy and have it work. So we spent several months learning how they ran their business and identified what can be automated and what can be manual. We found that 90% of what they were doing could be done with computer programming and the rest is what they did best which was service the customers product. How cool is that! So what that means is that they spent 90% of their time doing the same things over and over that took way too much time. We sat down with them and put all of the variables in a pile along with all the tools they were using such as quickbooks and ups shipping, etc and searched for a flexible solution that will adapt with the times and never go out of date. Most off the shelf programs need to be installed with a disc and updated. Over time the support goes down the tubes and the system again becomes antiquated. We also wanted something that played nice with online marketing tools to help continue with the growth. After some time we found ZoHo. It is completely customizable with a way to program functions to perform the sizable tasks we needed. After flowcharting all the processes and quoting requirements we were able to build a program and use the database to store everything including the inventory which automated the 90% they were struggling with. After some testing and bug fixing we took the training wheels off and let it go. The system we built is completely versatile and can expand and contract with ease. Needless to say we worked very hard to get a company out of financial hardship and provide them with the tools they needed to do what they loved while becoming successful doing it. If you are even reading this post it may be too late. If you can compare it to when this post was written the Google update for the improvement of search happened two days ago on April 21st, 2015. We have been preaching to those who were proactive about getting their website up to date but now it is time to preach to those who are falling behind. Sometimes you need a kick in the wallet to understand that you can’t continue down the same path grieving why you are not getting business from your website. If you are continually behind the times how can you ever expect to catch up?

Don’t Lose the Mobile Battle!

This is not a rant, this is a wake up call. We have seen hundreds of businesses over time try to follow the yellow brick road or try to find the end of the rainbow only to discover someone else was there first. Second place is the first loser.

You Are Spending Too Much on the Wrong Things

Way back when, if you didn’t have a pigeon you wouldn’t get your message out. Some business owners still think it is ok to spend $15,000 a year “or more” on placing their ad in that big phone book. When is change going to happen? As of today more than half of searches on the internet are done with a mobile device. Google had every reason in the world to adapt and change their algorithm to create the best experience possible for their users. Some business owners think it is ok to spend $400 for their ad to show up in the Sunday paper “once”. That is outrageous! Do it every Sunday and that is another $20,800! Now to spend $35,800 on two mediums that give mediocre results you can hire a full time person to market your business online where all the action is. People are not searching for your business anymore, they are searching for what you offer. In retrospect, even businesses used to name their companies A-1 Plumbing or Aardvark Painting just so that when someone picked up that big paperweight of a book they would see your business first under that particular category. It does not work like that anymore. Google does not give alphabetical results it gives the most relevant result. So if you are not mobile friendly, socially active and optimized for your products or services you are out of luck!

Never Stop Evolving your Website!

Forward progress. We are not telling you this to make you feel bad or scold you, we are telling you this to make you aware that change is needed to puff up your wallet again. If you are experiencing a downfall in revenue and a decrease in customers, take the hint. Something is wrong. Every business can streamline their processes, work faster, study harder to make up the difference but if you do not stop for a second and realize you have to continually re-invent yourself as a person and as a business owner you will proceed in the wrong direction. We are in the business and it is hard to keep up with everything changing, especially mobile friendly websites. Looking back at all the change that has occurred over the last 10 years is baffling. The businesses who are succeeding are embracing the fact that it is always evolving and jumping in on all the latest trends and tools. Not all of them are a perfect fit for every business but depending on what you do, one of these tools can be the ticket to reaching your goals and making your dreams come true.

One thing we can say for sure as a company that started back in 2006 is we embraced change.  The internet back then was just gaining momentum and becoming a place where you can find information.  As it grew, businesses began to learn that the old brick and mortar method of thinking was starting to go out of the window.  Internet companies were slowly taking away the business of small mom and pop shops and also many small businesses.  In retrospect what was really happening is that companies were centralizing and consolidating their products and services and offering them online cheaper and faster than you can get them locally.  The reason is because the local companies would have to carry so much inventory that it stressed out their overhead and they were finding out that they couldn’t carry all of the options the people wanted all under one roof.  With that said, these businesses were beginning to battle a bigger hurdle with those companies using the Internet to broadcast a variety of products and services without having to carry any inventory.  What companies were doing was making connections with distributors and becoming a hub for sales that was much easier for the online consumer.  There was a time where people needed to touch and feel what they are buying.  Another phenomenon that was happening is that people would go to the local stores, figure out what they want and then hunt around online for the best price.  In most cases they can save on tax and those companies can pass on the savings to the customer due to their low operating costs, not to mention free shipping, customer satisfaction and returns with no questions asked.

What We Learned by Interviewing Businesses

Now why are we as web designers mentioning all of this.  The reason is that we have dealt with several hundred businesses and had meetings with over a thousand.  During these discussions we have heard all the horror stories, success stories and struggles that business owners have.  We have also discussed financials and client base.  We have seen businesses fail, we have seen businesses succeed, we have seen businesses go from small to large and large to small and we have seen start-ups become million dollar companies.  This is precious information that a web designer can use to help business owners willing to beat the odds and flourish on the Internet.  In our experience those business owners that resisted change or were not willing to listen or learn to the reality that was unfolding before their eyes are continuing to struggle.  Brick and mortar thinking is not how businesses are succeeding.  We don’t mean the ones that have an actual building, we mean the ones that are not thinking outside of their building.  Opening themselves up to a larger market by embracing the Internet is what separates them from failure.  If you think about it, when a family of 4 is driving to a broadway show in their city, 3/4 of them have their heads in their mobile devices.  That means all the billboards you invested in are probably being missed most of the time except by the driver if they are paying attention.  That type of marketing is the opposite of what really brings in the bacon.  When someone wants a product or service the first thing they do is hop on the internet.  9 times out of 10 they are not searching Google for the name of your company because they may have saw it on a billboard or a newspaper.  They are searching Google for the product or service you may offer.  Now if your business is not embracing the Internet how on earth do you expect to succeed.  Again, old school marketing is not working anymore.  It is intrusive and not in front of your audience when it needs to be.

How to Anticipate What Your Clients Want

As a web design company, it is our job to align your market with your customers so when they are good and ready to search for the products and services you offer you better rank high on Google wether it is natural search through SEO or paid search using Pay per Click.  On top of that you need to be broadcasting your message on Social Media such as Facebook, Twitter, Linked-In and others that compliment your industry.  When we design websites we take all of these avenues into consideration when we anticipate a potential customer arriving at your website.  We think of everything possible to get inside their head to make sure we answer their question before they ask it., solve their problem before they know it and guide them towards what they are looking for gracefully.  Knowing your visitors mindset prior to them landing on your site is the key to converting those visitors to potential clients.

The bottom line is that people are sick and tired of being interrupted by traditional marketing methods that they learned how to tune marketers out.  People are information maniacs and they scour the Internet for solutions to their problems or answers to their questions.  Once their sights are set on what it is they want, the next logical thing to do is purchase or inquire about the product or service they seek.  Now as web designers, we have adapted to these changes and new trends so that we can get our customers in the spotlight of their audience.  Does your website have a pulse?  Our job is to build your website to be an affective tool that speaks volumes to your visitors and makes their mouth water for more.  If your site is built where your customers enjoy your culture and story they will share and broadcast their experience with others and the inertia is exponential.  Having this power and knowledge is crucial to the success of your business.
